1. Admission Officer 1.1 Provide first and continual point of contact for prospective families from enquiry through to enrollment of new students 1.2 Be responsible for fielding, filtering, and effectively responding to enquiries received via telephone, email, social media and in person 1.3 Provide information and advice to applicants on Admissions from first enquiry through to enrollment 1.4 Organize and conduct visits for prospective parents and provide high quality customer care at all times 1.5 Work diligently in a team approach towards set student number targets 1.6 Undertake regular and timely follow-up to all enquiries, visits and applications to meet minimum response times 1.7 Process student applications, obtain student references and work with the Assistant Director of School Advancement to ensure applicants’ eligibility (including checks on the validity of documentation) 1.8 Coordinate academic testing with the Royce Royal Learning Support Department 1.9 Follow best-practice Admissions procedure and engage on-going development and training 1.10 Record and report accurate and timely information in Open-Apply, our Admissions online information management system 1.11 Effectively participate in initiatives to drive student recruitment and enrollment opportunities 1.12 Liaise and build positive relationships with the Senior Leadership Team, faculty, staff, transport and finance staff and external stakeholders“Staff Meeting”, chaired by HR and attended by all staffs, to be updated on the most current operational issues, new School Policies, etc. 1.13 Cascade information about students in a timely manner to relevant section heads, counselors and colleagues, including Finance, Bus Coordinator, Catering Manager and School Nurse, etc. 1.14 Liaise closely with Teachers, Head of School and Admin staff with regards to the smooth transition/induction of new families, and support arrangements for new starters 1.15 Lead bi-annual Open Houses Attends the school seminars, retreat, activities, and training. 1.16 Attends the meetings Performs other related duties of a similar type and at a similar level. 2. School Visit Management: 2.1 Assume a client service role, be customer focused and ‘front of house’ and represent the school to potential or existing parents, their representatives or agents 2.2 Plan in depth for each visiting family and organize relevant and informative school tours, meet with key staff as appropriate and respond in a timely fashion to drop-in requests for school-tours 2.3 Ensure up to date product knowledge by continually reviewing and seeking out information on the school and its program offers 2.4 Follow Admissions standardized procedures and contribute to the effective development of best practice in terms of operation and delivery 2.5 Be aware of our key messages and promises, and ensure these are consistently communicated to potential or existing parents 2.6 Keep up to date with market intelligence and report on the competitor landscape 2.7 Ensure all Admissions meeting areas and tour routes are delivering a high-quality experience. 3. Admissions Recording and Reporting: 3.1 Record accurate and timely information relating to school 3.2 Admissions (enquiries/visit/applications/ admissions/withdrawal/starters and leavers) on Open-Apply, and other systems as may be required to ensure completeness of data 3.3 Maintain own records to report effectively with the Assistant Director of School Advancement for each enquiry and record timely follow-up actions 3.4 Create comparative analysis graphical data reports for SAO and maintain a daily Google doc file on all applicants 4. Communication and Customer Service: 4.1 Build and develop strong and positive relations with Academics and Admissions Teams 4.2 Develop parent relationships ensuring that word of mouth comments are positive 4.3 Positively represent the school at all times in appearance and mannerism 4.4 Provide focused and high quality customer care at all times 5. Key events & Admissions timeline: 5.1 Support school orientation events at each new quarter or semester Support rolling admissions and induction processes for new students 5.2 Attend events including international school fairs to recruit new students (may include evenings or weekends) 5.3 Support Booth & Event in-house and Outside of the school
